Using tasks allows you to break down your project into smaller actions and timeframes, allowing you to track your overall project more effectively. With the ability to set due dates for the tasks you assign to each action, you can use the task due dates as your expected progress timeline so your goal will be able to measure whether your progress is ‘on track’ or ‘behind’ at any stage.
To set up this method of tracking for a particular goal, you must first create a task for each action. To do so, follow these steps -
- Click your goal title to bring up the sidebar to the right of screen
- Click the circle with the ‘<’ in it to the top left of the sidebar to enter the goal hub
- Of the 4 tabs near the top of the screen, click the ‘Tasks’ tab
- Click the ‘Add Task’ button and the Add Task window will appear
- Enter your task title and select a due date. *Your task due dates must reside within the scope of your project start and due dates or they will not be able to be included as expected progress points for your goal **As the fields in the Add Task window are customizable, they may differ from database to database. If you don’t have a ‘due date’ field, request one from your GFW consultant or lodge a support ticket and one of our GFW consultants can help set one up for you (pending your stakeholder’s approval)
- If you plan to add more than one task, click the ‘Create Another’ checkbox before you click 'save'. After clicking save you will be presented with a fresh Add Task window
- Repeat the process of adding new tasks until you are complete and remember to uncheck the ‘Create Another’ checkbox prior to clicking ‘Save’ on your last task *The system assumes your final task to complete your project will coincide with your goal’s overall due date so it is best to have your final task due date and goal due date align
To view a video showing how to add tasks, see below…
Once you have created the tasks to break down each section of your project, you now need to set your expected progress to align with the due dates of these tasks. To do so, please follow the following steps…
- Click the ‘Tracking’ tab near the top of screen to enter the tracking section
- Click ‘Edit Expected Progress’ above the right of the graph
- Ensure that above right of the graph the ‘tracking type’ is set to ‘Steps’, not ‘Linear’, this will help to keep your goal ‘on track’ between the completion of each action
- Click ‘Add Point’ *If you cannot view the ‘Add Point’ button, you may need to scroll down
- Click ‘Default to Task Due Date’
- Check the table below the graph which should update to show a series of rows, one for each task with the due date of each task aligning with the expected progress point in each row. *If the due dates you entered for the tasks are outside the start and due dates of your goal, you may have to edit your task or goal dates to align them correctly, then start this process again
- Click ‘Save’
- Change your goal tracking to 'Task Completion' so that as you check off each task as complete, it will increase the progress of your goal
Your graph should now show a line exhibiting your cumulative expected progress, with the line rising when each of your project tasks is due, as well as a bar representing each task action that is due within the timeline you have established.
Here is a video outlining the process…
Your goal will now be tracked with a more accurate reflection of the action timeline of your goal and the work you are undertaking.
