How To Navigate The Laserfiche Mobile App

Settings, Tasks, Forms, Searching, Barcode Scanning and Saving Offline Documents

In the world of mobile software apps, Laserfiche Mobile stands out for one very good reason. It offers you a full, rich, and complete experience, every bit as robust as your experience in the Cloud.

Sign into Laserfiche Mobile using either your mobile server URL, or your Laserfiche Cloud ID, and let's get started.

Enabling Biometrics

Once you have signed in, you can choose to enable Fingerprint ID, or Face ID, depending on whether you use an Android or iPhone, from the Settings menu.

Android:

  1. Tap the three horizontal bars at the top left, and choose Settings from the bottom of the slide-over menu
  2. Scroll to the bottom of the menu and enable Fingerprint ID

Apple:

  1. Tap the three horizontal bars at the top left, and choose Settings from the bottom of the slide-over menu
  2. Scroll to the bottom of the menu and enable Face ID

The next time you log into the Mobile app, you will be prompted to either use your Fingerprint ID on your Android device, or will be automatically logged in using Face ID on your Apple device.

Accessing Forms on the Mobile App

Forms are accessible in the slide-over menu.

 This section includes:

  • My Tasks - Open,  Drafts, Unassigned, and Completed.
    • To assign a Task, tap My Tasks > Unassigned  then choose the Task you wish assigned to you, and tap the ellipsis at the top right of the app.  Choose Assign to me, reassign, or edit due date.
  • Team Tasks - Identical to the Cloud, shows you which Teams have Tasks waiting.
  • Start a Process - Shows you a list of all forms currently available in the repository. You can also tap the ellipsis and choose from either list or thumbnail views.
  1. Click on Start a Process.
  2. Fill out the form you require, and then click Submit.
  3. A confirmation email is generated and sent to the email address provided in the Form submission.
  4. Once a Task has been completed, it will appear here, and can be released or reassigned by tapping the ellipsis.

Barcode Scanning

One unique feature that is available on the Mobile app is the barcode scanner, which allows users to capture barcode information directly from documents and use it to search for files and documents in the repository.

When a barcode is scanned, the app produces a multi-value token that contains the scanned barcode values, which can be utilized within processes for automation or documentation purposes.

If a Form has a field that has been set to accept barcode scanning, you will have the option to fill that field in by scanning a barcode, making data entry quicker and more accurate. This is especially useful in scenarios where manual entry could lead to errors.

The barcode scanner icon also appears when searching, and will populate the barcode into the search bar, ready to find the document associated with that particular code.

Saving Offline

Finally, saving an offline copy may come in handy if you want to utilize native applications for certain document types, which may offer better usability than viewing through the Laserfiche app alone.

  1. Select the file you wish to download, tap the ellipsis to the right of the file, and select Save Offline Copy.
  2. Once downloaded, the file will be available at the bottom of the slide over menu, under Offline Copies.
  3. Select Documents, then choose whether the document was created offline, or downloaded from Laserfiche.
  4. You will now be able to edit natively in the app of your choosing, such as Adobe, Word, or Excel.
