How To Grant Additional Rights To Users or Groups

Granting different access rights to a User or Groups

What happens if you need someone to be part of a specific Group, but also require them to have a different set of rights than others in that group?

If this situation arises, you can simply add the User or Group a second time, and assign them a completely different set of rights to the folder. 

  1. Navigate to your Repository and then select the folder you would like to add additional rights to.
  2. Right click on the folder and then choose Show Security.
  3. The Access Rights window appears, and from here you can see:
    • Users and Groups that currently have access rights to the folder. 
    • Where they have inherited the rights to this folder from.
    • What they are allowed to see within the folder

Adding a New Trustee

In the Access Rights window, Users and Groups are called Trustees.

Each Trustee is assigned rights to a folder, either at the folder level, or from further up the folder tree. When rights are assigned elsewhere, this is referred to as Inheritance

As a best practice, rights should be assigned to a Group first, and Users should inherit those rights from the Group they are placed into. 

As an example:

Mary Jane has recently been promoted to a new role within the township. She is currently part of the Consultants Group, however she will need a different level of access to the Bylaws folder.

    1. From the Access Rights window, locate the blue slider that is set to Inherit rights from parent. Turn this off.  Doing so will show you very clearly who has been added separately, and what access rights they have been granted. 
    2. Select a User or Group to add to this folder by choosing from the Add trustee drop down menu. 
    3. Scope refers to what level a User has to the contents of this folder. Select the drop down menu, and then choose the level of access you want the User or Group to have. 
    4. Set the rights for this User by either allowing, denying, or leaving the checkbox blank. 

Click the arrow on the left side of each Right to view the right's sub groups.

Remember:

    • Leaving a box Unchecked means they will not have access, unless they have been granted inherited access from further up the folder tree.
    • Clicking Allow trumps a blank box - it gives the User the access right, even if Inheritance has been set with that particular checkbox left unchecked.
    • Deny always trumps Allow and blank checkboxes, no matter what rights the User may have been granted elsewhere.

Click the blue Save button when you are done.

Once a User or Group has been successfully added in this way, you will see an (x) beside their name. This is an easy way to determine if a User or Group has inherited rights, or if they have been assigned additional access rights at a folder level.
