How to "Delete" a Task

A simple step by step guide to stopping, or "deleting" an Open Task

Question: Can a Task be deleted from your Homepage?

The short answer is no.

Laserfiche does not allow you to simply delete a Task; doing so could lead to all sorts of issues, both organizationally and behind the scenes, with the processes themselves. 

Remember, for every Task waiting for your approval, there is a Process that was built and will continue running, even if the Task was able to be deleted with the push of a button.

You may not be able to delete a Task, however you can stop the Instance that initiated the Task. 

Your ability to access Business Processes and Workflows are dependant on your security settings and access rights. 

What is an Instance?

An Instance refers to a particular execution of a Workflow.

Each time a Form in your repository is submitted, a Workflow begins.

These Workflows are designed to execute specific operations, such as routing the Form to a supervisor or manager for approval.

Each Task that has been assigned to you is a single Instance that the Workflow has triggered.

So, it is the Instance, not the Task, that needs to be stopped.

Stopping an Instance

If certain Tasks are no longer needed—such as handling documents that have outdated statuses—terminating the Instance can help streamline processes by ensuring that only relevant Tasks are completed.

Caution should be used when stopping a process. Please consider the potential repercussions on workflow performance and system stability.

 Let's look at an example.

  1. Click on Tasks from the Home Screen to see Open Tasks, Drafts, Unassigned, or Completed Tasks.
  2. Select the Task you need to delete.
  3. Navigate to the App Picker > Process Automation > Business Processes.
  4. Select the checkbox next to the corresponding  Business Process.
  5. Click the Monitor icon.
This lets you view all the Instances that have been run using this Process.

Monitor
On the left hand side of your screen you will see:

    • Search Instances > Status > In progress with no errors.
    • Click the checkbox.

This will filter out any Instances that have already been completed or cancelled.

    • Finally, select the Instance you wish to stop, then click the Stop icon.

Frame
Once an Instance has been stopped, it will no longer show in the Home Screen Tasks.
