How To Adjust Default Settings
Default settings can be found throughout Laserfiche; here are few important ones to remember.
If there are any unfamiliar terms within this article, please consult our glossary.
By default, Laserfiche sets features a certain way, but that way may not work for you.
If you have come across settings that made you think, "I should be able to change that", then this article is for you.
With the proper Administrator Access Rights, you can turn on, or turn off, Laserfiche's default settings, many of which are found in either Repository Administration or under the User Options Menu.
Remember, default settings should focus on ease of use, security, and efficient management while being tailored to the specific needs and structure of your Users.
Repository Administration
Let's begin by navigating to:
App Picker > Content Management > Repository Administration > General
Now we can explore a few default settings that affect the repository.
- Track sticky note history for all future changes: Enables history for a sticky note, including visibility into changes in text or position on the document page.
- Search: These checkboxes can be set as search defaults for all users, and will appear during Basic and Advanced searches.
- Version Tracking: Checking this box prevents version tracking of all documents going forward.
- Recycle Bin: Checking this box gives Users access to the recycle bin. You can also set a time limit for how long a file will remain in the recycle bin before being purged.
- AI Feature Controls: Although secure, Smart Chat, Smart Fields, and summarizations can be disabled until such time as the User deems it warranted.
The User Options Menu
The User Options Menu is located on the top right of the Laserfiche app. Click it, and then select Options.
There are a number of default settings that you can alter; below are several important ones to keep in mind.
General > For PDF files:
- Generate pages when importing PDFs: Automatically generate image pages during the import of PDF files. Enabling this feature ensures that both the image and the original PDF are retained in the repository.
-
Keep original PDF files when generating pages during import: Maintains the original PDF file alongside generated pages.
- Preserve PDF annotations on Laserfiche pages: When enabled, this setting converts PDF annotations into Laserfiche annotations during the import process. If you prefer to ignore PDF annotations, you can disable this option.
- Original document type: Click the drop down menu and choose from black and white, standard colour document, or high quality colour document.
Display > Tabs:
- Allows you to rearrange the tabs displayed in the Details pane. You can drag and drop the tab names to change their order according to your preferences.
- You can create also create custom tabs that can display information from external websites directly within the Laserfiche interface.
Download > Redaction:
- You can determine whether redactions should appear when an image is downloaded.
Download > Send Email:
- You can choose how you want email attachments to be sent: zip, links, files, or entry paths.
Download > Download Briefcase:
- A briefcase is a special collection of documents that can be downloaded and re-imported into your repository. It includes not only the documents themselves but also their folder structure and Laserfiche-specific information, such as annotations and metadata. This option lets you choose which briefcase elements you would like to be automatically included in the download.
Search > Search Options:
- Find partial matches when performing a quick search: Allow users to search for entry names, fields, and annotations without needing to specify the exact term, which means that inputting a term like "laser" would also return matches like "Laserfiche" and "lasers."
- Include variations of root word in indexed searches: This feature allows users to return not only the exact search term but also its grammatical variations. For instance, if you perform a search for the root word "swim," selecting this option will incorporate results that include "swam" and "swimming"
- Use fuzzy search (applies to indexed searches only): Takes misspellings into account. For example, if you search for "exampel," a fuzzy search could return "example" and other closely related terms.
