What is a Security Tag?
A security tag is sometimes referred to as a lock and key system, which is used to keep sensitive information from prying eyes. Security tags can help enforce security rules at a more granular level, allowing you to manage access to documents and folders more effectively.
Security tags are used for a number of different reasons, including:
-
- Protecting sensitive documents, such as financial records or personal data
- Regulatory compliance such as HIPPA or GDPR
- Working in collaborative environments
- Granting access to documents related to specific projects
How to Create a New Security Tag
To create a new security tag:
-
- Select the app picker and click on Repository Administration
- Select Tags from the Metadata Overview box
- Click the (+) sign to create a new tag
- Enter a name for your tag, and a description that helps identify what the tag is for
- Make sure the security tag checkbox is selected, and then click OK
Now that you have created your security tag, you must assign it to yourself. This step ensures you have the rights to apply it to other users or groups:
-
- Select Users, and then click on either your User or Group
- Choose the security tag from the drop-down list
- Click the blue Save button
Applying a Security Tag to a Folder or Document
Now that you have created a security tag and applied it to yourself, it is time to apply it to a folder or document.
- Click the app picker and select Repository
- Check the box beside the folder or document you wish to apply the security tag to
- Select the Details tab
- Choose Tag > Add, then select the security tag from the drop-down list
If you do not see the security tag you have created in the drop-down list, you may need to log out of Laserfiche, and back into your account.
Who Has Access?
Only those Users or Groups who have been given security tag access will be able to see the folder or document, and they must have Browse and Read security rights enabled as well. If a user has not been assigned the proper security tag, the folder or document will be invisible to them.
